Business Hours and Scheduling
For the online booking wizard to function correctly, you must define when your shop is open and how your booking calendar should be divided. This ensures customers can only book appointments during your actual working hours.
1. Setting Your Weekly Business Hours
You must configure the opening and closing times for every day of the week.
- Access: Navigate to System Settings > Business Hours in the admin sidebar.
- Daily Configuration: For each day (Monday through Sunday), you can set the following:
- Is Open: Toggle this off for days your shop is closed (e.g., Sundays).
- Open Time: The time you start taking appointments (e.g., 09:00).
- Close Time: The time you stop taking appointments (e.g., 17:30).
- Applying to the Wizard: These hours directly control the time slots available to customers in the frontend booking process.
2. Configuring the Booking Calendar
You can control the "density" of your schedule by changing the calendar interval.
- Access: Go to System Settings > System Configuration and click the General tab.
- Booking Calendar Interval: Choose how often appointments can be made:
- 15 Mins: Best for quick drop-offs or consultations.
- 30 Mins: The standard balanced setting.
- 60 Mins: Best if you prefer longer windows for each intake.
- Save Changes: Click the save button at the bottom of the page for the new intervals to take effect on the booking wizard.
3. Using the Master Calendar
The admin panel includes a visual calendar to help you manage your shop's workload at a glance.
- Access: Click on Calendar in the main admin sidebar.
- Viewing Repairs: All upcoming bookings and appointments are displayed here, color-coded by their repair status.
- Quick Actions: You can click on any appointment in the calendar to view the full booking details, update the status, or add technician notes.
4. Holiday and Temporary Closures
If your shop is closing for a specific holiday or event:
- Navigate back to Business Hours.
- Locate the specific day(s) and toggle Is Open to "Off."
- Remember to toggle them back "On" once you return to normal operations.
5. Appointment Requirements for Specific Services
Some services might require an appointment more strictly than others. You can manage this in your service definitions.
- Service Fees: Under System Settings > Service Fees, you can enable the Appointment Required toggle for specific fees (like "Mobile/Call-out Fee").
- Email Instructions: You can also add specific Email Instructions that will be sent to the customer only when that specific service is booked, detailing where to go or how to prepare their device for the appointment.
