Fixly provides a suite of visual tools and reports to help you monitor your shop's performance, track revenue, and stay on top of your tax liabilities. These insights are available directly on your admin dashboard and through specialized report tables.

1. The Admin Dashboard Overview

When you first log in, the dashboard provides an immediate "health check" of your business using real-time statistics.

  • Key Performance Indicators (KPIs): At the top of the page, you can see total revenue, the number of active repairs, and new customers gained within the current period.
  • Booking Status Chart: A visual breakdown showing the distribution of your current repairs (e.g., how many are "In Progress" vs. "Ready for Pickup").
  • Active Visitors: If enabled, you can see how many potential customers are currently browsing your website or using the booking wizard.

2. Financial Reporting and Revenue Tracking

Tracking your income is vital for business growth. Fixly includes several widgets dedicated to financial data.

  • Revenue Chart: This interactive graph shows your earnings over time (daily, weekly, or monthly), allowing you to identify your busiest periods.
  • Tax Liability Overview: A dedicated widget that calculates how much Sales Tax or VAT you have collected and currently owe, based on your "Tax & Invoicing" configuration.
  • Tax Report Table: For detailed accounting, this table lists every taxed transaction, making it easier to prepare your quarterly or annual tax filings.

3. Operational Insights (Device and Workflow Trends)

Understand which parts of your business are most profitable and where bottlenecks might be occurring.

  • Top Devices Chart: A ranking of the most common device categories and models coming into your shop. Use this to decide which parts to keep more of in your inventory.
  • Stuck Jobs: This widget highlights repairs that have been in the same status for an unusually long time, helping you ensure no customer is forgotten.
  • Low Stock Alerts: Automatically lists any parts that have fallen below your "Low Stock Alert Level" so you know exactly what needs to be reordered.

4. Managing Staff Performance

While not a formal "report," you can monitor shop activity through user logs and technician assignments.

  • Technician Assignments: You can see which staff members are assigned to which bookings, allowing you to balance the workload across your team.
  • Internal Notes Log: Review the internal notes added by technicians to maintain quality control and ensure clear communication within the shop.

5. Exporting Data for External Use

If you need to move your data into another tool (like Excel or a different accounting suite):

  • Invoice Records: You can view and manage all historical invoices in the Invoices section.
  • PDF Downloads: Every invoice and repair summary can be downloaded as a professional PDF for physical filing or external sharing.
  • QuickBooks Sync: For full automation, ensure your QuickBooks integration is active to have these reports mirrored in your professional accounting software.
