Managing Inventory and Parts
Fixly includes a built-in inventory system that allows you to track the parts you use during repairs. This ensures you always know what is in stock and helps you bill customers accurately for the materials used.
1. Adding Parts to Your Inventory
Before a part can be used in a repair, it must be added to your master inventory list.
- Access: Navigate to Inventory > Parts in the admin sidebar.
- Basic Info: Provide a Name (e.g., "iPhone 13 Screen - Premium") and an optional SKU or Barcode for easier searching.
- Pricing:
- Cost Price: What you paid for the item (used for profit reporting).
- Selling Price: What you charge the customer.
- Stock Tracking:
- Quantity in Stock: Enter the current number of items you have on hand.
- Low Stock Alert Level: Set a threshold (e.g., "2"). When your stock hits this number, it will trigger an alert on your dashboard.
2. Using Parts in a Repair (Auto-Deduction)
When a technician performs a repair, they can link specific parts from the inventory directly to the booking.
- Linking Parts: Inside the Booking Editor, scroll down to the Parts section and click Add Part.
- Inventory Integration: As soon as a part is added to a booking, the system automatically deducts that quantity from your master inventory.
- Billing: Any parts added here are automatically included as line items when you generate the final Invoice for the customer.
3. Monitoring Stock Levels
You don't need to manually check every item to see what is running low.
- Dashboard Alerts: Items that fall below their "Low Stock Alert Level" will appear in the Low Stock Alerts widget on your main admin dashboard.
- Stock Status: In the main Parts table, you can quickly see the "Quantity" column to verify current levels.
4. Handling Returns or Mistakes
If a part was added to a booking by mistake or the repair was cancelled:
- Deleting the Part from Booking: Removing the part from the booking's "Parts" list will return that item to your inventory count automatically.
- Manual Adjustments: You can also manually edit a part's quantity at any time by visiting Inventory > Parts and updating the Quantity in Stock field.
5. Inventory Sorting and Search
- Searchable Fields: You can find parts quickly by searching for their name, SKU, or category.
- Filters: Use the filters to view only items that are currently out of stock or below their alert level.
