Managing Service Fees and Warranty Configuration

This guide explains how to add additional charges to repairs and how to manage your shop's warranty policies. These settings ensure that your pricing is flexible and your customers understand their coverage.

1. Understanding Service Fees

Service fees are optional charges that can be added to any booking. These are ideal for non-standard costs like "Express Repair," "Diagnostic Fee," or "Pickup and Delivery."

  • Access: Navigate to System Settings > Service Fees in the admin sidebar.
  • Creating a Fee: When adding a new fee, provide a clear Name and the Amount to be charged.
  • Active Status: Use the Is Active toggle to determine if the fee is available for selection during the booking process.

2. Appointment and Email Rules for Fees

You can link specific fees to appointment requirements or automated instructions.

  • Appointment Required: If you enable this toggle for a fee (such as "Mobile Call-out"), the customer will be forced to choose a specific time slot in the booking wizard if they select this service.
  • Email Instructions: You can provide custom text that is only sent to the customer if they select this fee. For example, a "Mail-in Repair" fee could trigger an email with your shipping address and packing instructions.

3. Configuring Default Warranty Terms

Fixly allows you to set a standard warranty duration that is applied to all repairs by default.

  • Access: Go to System Settings > System Configuration and click the General tab.
  • Warranty Duration: Locate the Default Warranty Duration field and enter the number of days (e.g., 90 for a three month warranty).
  • Automatic Tracking: This duration is used to calculate the warranty expiry date on customer invoices and repair summaries.

4. Writing Your Warranty Policy

Beyond the duration, you must define the legal terms of your warranty (e.g., what is covered, what voids it).

  • Access: In System Configuration, click the Legal Pages tab.
  • Warranty Information: Use the Rich Editor to write your full warranty policy.
  • Public Display: This content is automatically published on your website at the /warranty URL, which is linked in the footer of your site and in customer emails.
